Transparent and fair guidelines regarding fee payments, admission cancellations, and refunds.


General Guidelines

Champaran College of Professional Education maintains a transparent and equitable fee refund policy, adhering strictly to the standardized guidelines set forth by statutory regulatory authorities for higher education institutions. We understand that unforeseen circumstances may require a student to withdraw their admission, and we process all such requests with fairness and efficiency.

All requests for the cancellation of admission and refund of fees must be submitted in writing using the official Withdrawal Form, available at the administrative office. The date on which the formal application is received by the college administration is considered the official date of withdrawal for all refund calculations.

Refund Rules & Schedule

Refunds of tuition and academic fees are processed based on the timing of the withdrawal request in relation to the formal commencement of the academic session:

  • Before the Commencement of Classes: If a student withdraws their admission well before the formally notified last date of admission, the entire fee collected will be refunded, subject to the deduction of a standard administrative processing fee.
  • Shortly After the Commencement of Classes: If the withdrawal request is submitted within a specified grace period after classes have started (and the vacated seat can be filled by another candidate), a proportional deduction of tuition fees and administrative charges will be applied before processing the refund.
  • Post the Cut-off Date: No refund of tuition or academic fees will be granted if the withdrawal request is submitted after the official final date of admission, as the seat remains vacant for the remainder of the academic year.

Non-Refundable Fees

Please note that certain components of the college fee structure are strictly non-refundable under any circumstances. These include:

  • Application and Prospectus Fees
  • Registration / Enrollment Fees
  • Examination Fees (if already remitted to the affiliating university)

Caution Money & Security Deposits

Security deposits or caution money collected at the time of admission are fully refundable at the completion of the enrolled course. Refunds are processed upon the submission of a "No Dues Certificate" from the library, laboratories, and accounts department, ensuring there is no outstanding balance or damage to institutional property.


Processing Timeline

Eligible refunds will be processed through digital transfer (NEFT/RTGS) or account payee cheque in the name of the student or parent. Please allow 15 to 30 working days from the date of the approval of the withdrawal application for the funds to be successfully credited.
